AI-automated bookkeeping

Your Books, Balanced Automatically

BookNerd connects to your bank and uses AI to sort every transaction into a real double-entry ledger, reading your receipts too on Pro and above, so your books stay organized and tax time is less of a scramble.

How It Works

From Bank Feed to Books in Three Simple Steps

  1. Connect

Link your bank through Plaid or import a statement file. Square and Stripe sync can bring in your sales too (Pro and above).

    Step 1
  2. Categorize

AI suggests a category for each transaction and applies your rules. On Pro and above, it reads the receipts you upload too.

    Step 2
  3. Review & report

Answer the few questions the AI can't, then pull profit & loss, balance sheet, cash flow and tax reports.

    Step 3
  4. DOUBLE-ENTRY LEDGER

Every entry has two sides, so the numbers always add up.

Features

Everything You Need to Keep Clean Books

One place to bring in transactions, sort them with AI, and see where your money went.

  • Bank sync and imports

Connect your bank through Plaid, or import statement files in CSV, Excel, QBO, MT940 or CAMT format. Each file is checked before it's imported, so deposits and spending can't quietly end up backwards.

  • AI categorization

Transactions get a suggested category as they come in. Set rules for the merchants you already know.

  • Pro and above

    Receipt scanning

Upload a receipt and BookNerd reads the details, then matches it to the right transaction so nothing ends up in a shoebox. An unpaid invoice becomes a bill, with its due date.

  • Pro and above

    Email receipts

Connect Gmail or Yahoo with an app password, or Microsoft 365 — Outlook.com, Hotmail, Live, or a work inbox — with Sign in with Microsoft, and BookNerd finds the receipts in your inbox, reads them, and matches each one every day.

  • Pro and above

    Your own receipt address

Forward receipts, or email photos of paper ones, to your business's own BookNerd address. Only your team and senders you allow can use it, every file is checked and cleaned before it's read, and your team gets a reply saying whether each receipt matched a transaction, with a link to open it. Up to 100 emails a day on Pro, 300 on Enterprise.

  • Pro and above

    Square and Stripe sync

Each payout is split into sales and fees, plus sales tax and tips when Square or Stripe records them, and matched to its bank deposit automatically. The invoices you send with them come in too.

  • Pro and above

    Overdue alerts

Invoices customers haven't paid and bills you haven't paid are flagged on your dashboard and Invoices page, listed in your Monday summary, and sent to you by notification and email the day they turn late.

  • Invoices & bills

See what customers owe you and what you owe, how late each one is, and the payments that settled them. Add them yourself on any plan; on Pro and above, Stripe and Square invoices and unpaid receipts come in on their own.

  • AI assistant

Ask about your books or how to do something. It sees what you're looking at, opens the right page with filters set, and changes nothing until you approve.

  • Double-entry ledger

Real debits and credits behind every transaction, with split entries for the complicated ones.

  • Cash or accrual books

Keep your books on a cash basis, or switch to accrual so income counts when you invoice and expenses when you're billed. Reports and tax summaries can still show the cash view.

  • Journal entries

Record depreciation, prepaid expenses, and wages or interest owed with entries of your own, once or every month.

  • Financial reports

Profit & loss, balance sheet, cash flow, trial balance and general ledger, on a cash or accrual basis, plus a cash flow forecast that counts open invoices and bills, and budget vs. actual.

  • Review center

One place for what needs attention: questions only you can answer, categories to confirm, reconciliation, duplicates, transfers and refunds.

  • Book accuracy and alerts

A dashboard score shows how complete your books are. Get warned when cash could run out or a regular bill goes unpaid, and get a summary every Monday.

  • Tax-ready exports

Categories map to tax form lines, from Schedule C to Form 1120. Export your tax summary, financial reports and transactions to CSV or PDF, with transactions in single-entry or double-entry format.

  • Team access and audit trail

Owner, member and viewer roles, an activity log of changes to your books, an owner-only lock that closes your books through a date you choose once taxes are filed, and email-code sign-in.

Who It's For

Bookkeeping That Fits How You Work

Whether you're a team of one or a growing company, the fundamentals are the same. Here is what to keep in mind at each stage, and how BookNerd helps.

  • Freelancers & sole proprietors

You're the business, the bookkeeper and the tax department all at once.

    What to keep in mind

    • Keep business and personal money in separate accounts.
    • Record every payment you receive and every business expense.
    • Hold on to receipts for anything you plan to deduct.
    • Set money aside for estimated taxes. In the US, these are typically paid quarterly.

    How BookNerd helps

    • Categories map to Schedule C lines for sole proprietors and single-member LLCs.
    • Upload receipts and let BookNerd read them (Pro and above).
    • A live profit & loss shows what you've actually earned.
  • Small businesses

As sales, suppliers and staff grow, tidy books become a way to make better decisions.

    What to keep in mind

    • Reconcile your books to your bank statements every month.
    • Watch your cash closely so you can always cover bills and payroll.
    • Separate the cost of what you sell from everyday operating expenses.
    • Sales tax and payroll rules vary by state, so know your obligations.

    How BookNerd helps

    • Automatic bank sync and a review queue that makes month-end quicker.
    • Balance sheet and cash flow reports alongside profit & loss.
    • Invite your bookkeeper or accountant as a member or viewer.
    • Square and Stripe payouts are split into sales and fees, plus sales tax and tips when the processor records them, and the invoices you send come in too (Pro and above).
    • See who owes you and what you owe, and how late each invoice and bill is.
  • Larger businesses

More people and more accounts call for clear controls, a paper trail and clean handoffs.

    What to keep in mind

    • Give each person only the access their role needs.
    • Keep a clear history of who changed what, and when.
    • Keep each entity's books separate from the others.
    • Follow a repeatable month-end close, and close each period once it's final.

    How BookNerd helps

    • Owner, member and viewer roles control who can edit the books.
    • An activity log records changes to the books, and locked periods keep filed numbers from changing.
    • Run more than one business under one login, with CSV and PDF exports for your accountant or auditors.
    • Accrual books with journal entries for depreciation and prepaid expenses, and a cash view whenever you need one.

Accounting 101

Accounting Basics in Plain English

New to bookkeeping? These four ideas explain most of what happens behind the scenes in BookNerd.

General information only, not tax, legal or financial advice. Rules vary by country and state.

Cash vs. accrual
Cash basis records money when it moves in or out of your bank. Accrual basis records it when it's earned or owed. BookNerd starts your books on a cash basis, and you can switch them to accrual.Example: A $500 invoice sent in June is June revenue on accrual, even if it's paid in July.
Double-entry
Every transaction has two sides: a debit and a credit. Because they always match, the books stay balanced.Example: Paying $60 for software debits Software Expense and credits your Checking account.
Reconciliation
Comparing your books to your bank statement to catch missing, duplicate or mistaken entries.Example: If your books say $4,120 but the bank says $4,070, something needs a closer look.
Deductible expenses
Ordinary and necessary business costs can reduce taxable income. Some, like business meals, are often only partly deductible.Example: In the US, business meals are generally 50% deductible.

FAQ

Questions, Answered

Does the AI make the final call?

No. The AI suggests categories and reads receipts, but you can review and change anything. Your own rules take over for merchants you have already taught it.

How does BookNerd connect to my bank?

Through Plaid, a widely used bank-connection service. For a bank or card that can't be connected, you can import statement files in CSV, Excel, QBO, MT940 or CAMT format.

Do I still need an accountant?

BookNerd keeps your books organized and tax-ready, but it is not professional tax or legal advice. You can invite your accountant to view your books or share a CSV or PDF export.

What's different between the plans?

Every plan includes the full set of books: bank sync, AI categorization, invoices and bills, cash or accrual reports, journal entries and tax exports. Pro adds AI receipt scanning, email receipts, your own receipt email address and Square and Stripe sync, so unpaid receipts become bills and your Stripe and Square invoices come in on their own. Enterprise has the same features as Pro with the highest limits for team members, bank connections, email inboxes, emailed receipts a day and years of history.

Can BookNerd keep my books on accrual?

Yes, on every plan. Your books start on a cash basis, counting income and expenses when money moves. An owner can switch them to accrual from a start date: invoices and bills then count when they're issued, and journal entries take care of things like depreciation and prepaid expenses. Your reports and tax summary can still show the cash view, and your tax preparer can tell you which basis your return uses.

How is my account kept secure?

Each password sign-in is confirmed with a 6-digit code we email you. You can review your recent sign-ins from your account settings and sign out of all devices at once. Give each person a role (owner, member or viewer) so only the right people can make changes.

Which tax forms does it support?

For US businesses, your categories map to lines on Schedule C, Form 1120-S, Form 1065 or Form 1120, depending on your business type.

Can I run more than one business?

Yes. Each business has its own separate books and its own subscription, so a side project never gets mixed up with your main company.

How does the free trial work?

Every plan starts with a 15-day free trial with everything your plan includes. You enter a card to start, but you are not charged until the trial ends, and you can cancel any time before then. During the trial, transaction exports leave out categories, and report and tax summary exports are locked. Both unlock once your subscription begins.

Do you offer discounts?

From time to time we run offers for new customers, like a discount on your first few months. When one is running, you'll see it here in Pricing and it's applied for you at checkout. If someone gave you a promo code, enter it when you choose your plan.

What happens to my data if I cancel?

Everything stays connected until your subscription actually ends. Then your banks, payment processors and email inboxes are disconnected so nothing new is imported, and your team members lose access to the business. If you cancel, we let your team know ahead of time. Your books stay saved for 90 days after that, and we email you when it ends and again 60, 30 and 3 days before the deletion date so you can come back, resubscribe and reconnect everything. After that, your transactions, ledgers, invoices, bills and receipts are permanently deleted and cannot be recovered, which keeps financial records from lingering on inactive accounts. Your login and business profile stay on file, so you can return any time and start fresh.

Can I change plans later?

Yes. Upgrade, downgrade, switch between monthly and yearly billing, or add team members and bank connections whenever you like. Upgrades are prorated, so you only pay for the time left in your period.
